EisnerAmper Ireland is recruiting an Office & Front of House Executive on a part time basis to join the Service Excellence Team on a fixed term one-year contract initially with the potential for a contract extension/full time position.   

 As an Office & Front of House Executive, you will play a vital role in providing excellent customer service and administrative support to our firm. You will serve as the initial point of contact for clients, visitors, and employees, ensuring a warm and welcoming experience. What you will be doing:

This job description outlines the key responsibilities and requirements for the Office & Front of House Executive role, emphasising the importance of providing excellent customer service, maintaining a professional demeanor, and contributing to the efficient operation of the office on a part-time basis. 

Your role will focus on 4 main areas and will include: 

Front of House 

  • Managing incoming and outgoing calls and communicating voicemails/messages to the relevant departments 
  • Greeting Clients, Visitors and Staff 
  • Managing office access for staff and contractors 
  • Assisting with the day-to-day facilities operations 
  • Arranging couriers and taxis 
  • Making sure all meeting rooms are appropriately prepared for meetings 
  • Acting in a responsible and professional manner taking account of the specific interest of the Firm, its clients, its suppliers and business contacts. 

Administrative support 

  • Working with the SET team to provide administrative support to the management team and the Firm 
  • Assisting with the Firms’ diary management system  
  • Coordinating on-site and off-site meetings and corporate events and making arrangements for printing, conference call facility, and distribution of information for meetings, etc. 
  • Organising travel arrangements, including booking flights and accommodation, and preparing an accurate itinerary for business trips 
  • Assisting with clients’ correspondence  
  • Assisting the facilities team with daily tasks  
  • Assisting with collating, printing and binding documents in preparation of meetings and presentations 
  • Working with the SET department on ad hoc projects and other duties as they arise 

Event Management: Being part of the team that  

  • Assists with the organisation of the Firm’s internal events  
  • Assists in any follow up to the event including collating and recording feedback from internal and external attendees 

Required Experience:

  • 1+ years relevant experience 
  • Leaving Certificate or equivalent is required 
  • Superb organisational and execution skills 
  • Structured approach to undertaking work and reporting 
  • Excellent computer skills within Microsoft Office, especially Outlook 
  • Ability to handle a busy workload and prioritise work with a high level of attention to detail 
  • Excellent communication skills both written and verbal 
  • Highly proactive, able to work autonomously, make decisions and use your own initiative 
  • An outstanding flexible work ethic and a commitment to being the best 
  • Able to represent the Firm in a personable and friendly manner, upbeat and positive with high energy
